How We Handle Your Information

Last Updated: October 30, 2025

Introduction

Look, we get it - nobody really wants to read through a bunch of legal jargon. But here's the deal: at Obsidry Nverse Auto Repair, we actually care about your privacy. We're not in the business of selling your data or spamming you with nonsense.

We're a small shop focused on fixing cars, not harvesting information. This policy explains what info we need to run our business, how we use it, and what we don't do with it. Pretty straightforward stuff, honestly.

By using our services or visiting our shop, you're agreeing to what's laid out here. If something doesn't sit right with you, just give us a call and we'll talk it through.

What We Collect

When you book an appointment or drop off your vehicle, we'll need the basics:

  • Your name and contact info (phone number, email)
  • Vehicle details - make, model, year, VIN number
  • Service history with us (so we remember what we've done before)
  • Payment information (though we don't store full credit card numbers)
  • Any special instructions or concerns you've got about your ride

Our website might pick up some technical stuff automatically:

  • IP address and browser type
  • Pages you visit on our site
  • Time and date of your visit
  • Referring website (where you came from)

Nothing creepy, just basic analytics to see what's working and what's not.

Here's where it gets specific to what we do - when we hook up our scan tools to your vehicle, we pull diagnostic codes and performance data. That info stays in your service file so we can track issues over time and spot patterns.

Sometimes manufacturers request anonymized diagnostic data for recalls or technical bulletins, but that never includes your personal info.

How We Use Your Information

We're gonna be straight with you - we use your info to run our business and serve you better:

  • Service delivery - Can't fix your car if we don't know what's wrong or who owns it
  • Appointment reminders - We'll shoot you a text or email when your service is coming up
  • Warranty tracking - Keeping tabs on what work we've done and what's still covered
  • Maintenance alerts - Heads up when it's time for oil changes or other regular service
  • Invoicing and payments - Pretty self-explanatory
  • Improving our services - Looking at patterns to figure out what we're doing right and what needs work
  • Legal compliance - Sometimes the law requires us to keep certain records

We won't call you about random promotions unless you've specifically said that's cool with you.

Who We Share Data With

We're not in the habit of passing around your info, but there are a few situations where we might need to:

Parts Suppliers & Manufacturers

Sometimes we need to share your VIN with parts suppliers to get the right components or check warranty coverage. They're bound by their own privacy policies though.

Payment Processors

When you pay by card, that info goes through our payment processor. We never see or store your full card number.

Insurance Companies

If you're making a claim, we'll provide service records to your insurance company - but only with your say-so.

Legal Requirements

If we're legally required to hand over information (court order, subpoena, etc.), we've gotta comply. That's just how it works.

What we DON'T do: We don't sell your information to marketers, data brokers, or anyone else. Period.

Cookies & Tracking

Yeah, we use cookies - but not the kind you eat. These are tiny files that help our website remember you and work properly.

These keep the site running - things like remembering your appointment info while you're booking, keeping you logged in, and making sure forms work. Can't really turn these off without breaking the site.

We use basic analytics to see which pages people visit and how long they stay. Helps us figure out if our site's actually useful or just confusing. You can opt out of these if you want.

Your browser lets you block or delete cookies if you want. Just know that some parts of the site might not work as well if you do. Most browsers have a help section that'll walk you through it.

If you're using Chrome, Firefox, Safari, or Edge, just head to settings and look for privacy or cookie options.

How We Protect Your Data

We take security seriously, even if we're just a local shop. Here's what we do:

Encryption

Our website uses SSL encryption - that's the little padlock you see in your browser. Keeps data secure when it's moving around.

Secure Storage

Customer data is stored on secure servers with restricted access. Not everyone on staff can see everything.

Access Controls

Only authorized staff can access customer info, and only when they need it for their job.

Regular Updates

We keep our systems updated with the latest security patches. Boring but necessary stuff.

That said, nothing's 100% hack-proof these days. We do our best, but if there's ever a breach, we'll let you know right away and tell you what happened.

Your Rights

Under Canadian privacy laws (PIPEDA specifically), you've got some rights when it comes to your personal info:

Access

You can ask to see what info we have on you. We'll show you what's in our system - might take a few days to pull it all together.

Correction

If something's wrong or outdated, let us know and we'll fix it. Wrong phone number? Old address? Just tell us.

Deletion

Want us to delete your info? We can do that, though we might need to keep some records for legal or warranty reasons.

Opt-Out

Don't want marketing emails? No problem. Just hit unsubscribe or tell us to stop. We won't be offended.

Portability

Need a copy of your service records for another shop or insurance? We'll get you a file you can actually use.

To exercise any of these rights, just shoot us an email at service@obsidrynverse.info or give us a call. We'll get back to you within a reasonable timeframe.

How Long We Keep Your Data

We don't keep stuff forever, but we do need to hang onto some records for practical and legal reasons:

  • Service records - Usually keep these for 7 years. Helps with warranty claims and tracking long-term vehicle issues.
  • Financial records - Tax law requires us to keep invoices and payment records for 7 years too.
  • Diagnostic data - We'll keep this as long as you're an active customer, then it gets archived.
  • Marketing preferences - Until you tell us otherwise or until you haven't been in for a few years.
  • Website cookies - Most expire after a session or within
